Please read through the terms and conditions thoroughly before enrolling. When enrolling in any class at Cool Moves Club at Shop 2, 31-35 Queen Street Busselton, you agree to the terms and conditions as laid out on the Cool Moves Club website www.coolmovesclub.com.au.
GENERAL TERMS + CONDITIONS
01✷Late entry is NOT permitted to any class. We lock our doors for the safety of our clients and their belongings, to begin the class at the SCHEDULED time. Please ensure that you arrive 10-15 mins before the scheduled class time and are checked in within 5 mins of start time.
02✷All purchases are final and Cool Moves Club does not offer refunds on services or products for change of mind, injury, illness, change of address or any other reason. All passes and memberships are non-transferable and may not be shared. Cool Moves Club is not liable to refund, transfer or offer compensation of any kind for classes that are changed or cancelled for any reason, or in the event you are unable to attend a class because it is full.
03✷Cool Moves Club provides areas for participants to store their valuables, but please note that Cool Moves Club will not be responsible for the safekeeping of clients belongings while they are at the studio.
04✷Cancellations made less than 8 hours prior to class start time will forfeit that session. No-shows will forfeit that session. A Late Cancel 30 minutes before class is considered a No Show. ALL CLUB MEMBERS receive ONE fee waived per calendar month.
Unlimited/Foundation Club Members will incur a $20 No-Show fee for all classes they’re marked absent for and a $10 Late Cancel fee for all classes cancelled within 8 hours of class.
Double, Triple + Fifo Club Members will incur a $10 No Show fee for all classes they’re marked absent for and a $10 Late Cancel fee for all classes cancelled within 8 hours of class.
Class Pack Holders will incur a $10 fee for all Late Cancels and No Shows.
05✷A minimum of three people is required for a class to proceed. You will be contacted via text 2 hours prior to the start of class should it need to be cancelled and your session returned.
06✷Payment must be made prior to booking. To book into a class you must either have pre-purchased sessions in your account or pay at the time of booking in the studio.
07✷If a class you want is full, you can sign up for the waitlist. Should a place become available you will receive either an email or text to let you know you got into class. If you do not respond to the text/email we assume you’re coming and the system will automatically add you in to class.
08✷Our cancellation policy is the same for waitlisted classes. Remove yourself from the waitlist if you know you cannot attend so the next person on the list moves up.
09✷Owners and/or teachers reserve the right to restrict clients to a particular class type for safety reasons, and owners and/or teachers reserve the right to turn clients away if they do not have the correct medical clearance.
10✷Ten Class Packs are valid for 3 months from the purchase date. Sessions are non-refundable, are not transferable, and can be extended if you are injured, in which case we will request a medical certificate. Extensions due to medical reasons must be requested before the expiry date.
CANCELLATION POLICY
Our 8-hour cancellation policy is in place so all Cool Community members have the chance to attend classes. You can cancel a class the same way you booked it, it’s so easy!
We will not accept cancellations via email, phone, or social media.

Waitlists
If a class you want is full, sign up for the waitlist. If/when a place becomes available you’ll get an email or text to let you know you got into class! If you can no longer make it to class, cancel your waitlist spot so someone else gets a chance and to avoid being added to the class and having the same cancellation fees applied.
Our cancellation window is put in place so everyone has the chance to attend their favourite classes. We understand that life gets in the way, however, we strive to stay fair and consistent with our standards for our entire community. If you cancel outside of this window, there will be fees. No exceptions*.
*Cool Moves Club is a small family-owned business and we lose money and opportunity when you fail to show up to a class you have booked; with this in mind, we ask you to bravely wear our (frankly gentle) no-show fee like an adult. Who booked a class and didn’t show up – ya silly billy.
FOUNDATION CLUB MEMBERSHIP
24 week committment
The Membership operates on a 7-day autopay schedule from the credit card stored in Momence (a secure system). Payment will continue unless notified (see Termination Policy below).
The Membership will continue with scheduled auto pays unless Cool Moves Club is notified of a termination request in writing (see Termination Policy below).
The Membership may be subject to a price increase but will be communicated in writing 4 weeks before any change.
Foundation Club Members will incur a $20 no-show fee for all classes they’re marked absent for and a $15 late cancel fee for all classes cancelled within 8 hours of class. A late cancellation 30 minutes before class is considered a no-show. Foundation Club Members will have 1 late cancel fee waived per calendar month.
Failed Membership payments will incur a $10 fee for every day the payment fails to process, to cover the costs of rectifying the issue. This fee will be processed as a debit on the client’s Momence account which will be processed with the Membership payment.
On the fourth day of payment failing to process all booked classes will be cancelled and the Membership will be placed on hold. The failed Membership charge, plus any outstanding fees will be processed as a debit on the client’s Momence account, to be balanced within 7 days or the account will be terminated.
Membership Suspensions
At least 7 days written notice is required for membership pauses/suspensions. This ensures that the correct measures are put in place to cease credit card payments that are scheduled for the given billing period. We will not accept requests via social media message.
Memberships can be suspended for a minimum 1 week and a maximum of 12 weeks, via email requests to hello@coolmoves.club. Memberships can be suspended for a maximum of 12 weeks per year.
Membership Termination
Foundation Club Memberships are subject to a minimum 24 week lock-in contract after which termination can be arranged anytime in writing.
Cool Moves Club requires at least 7 days’ written notice to terminate memberships. Please email the request to hello@coolmoves.club.
In the case of long-term or permanent injury or illness that prevents the use of our services, immediate membership termination will be permitted. Termination will take effect from the date we receive written confirmation from a medical doctor.
Cool Moves Club may terminate a membership without notice for inappropriate, offensive or illegal behaviour, as determined by us, which occurs on our premises or is directed at our team or other members.
UNLIMITED CLUB MEMBERSHIP // Committed

DOUBLE, TRIPLE + FIFO CLUB MEMBERSHIPS // Committed
The Membership operates on a 7-day autopay schedule from the credit card stored in Momence (a secure system). Payment will continue unless notified (see Termination Policy below).
The Membership will continue with scheduled auto pays unless Cool Moves Club is notified of a termination request in writing (see Termination Policy below).
The Membership may be subject to a price increase but will be communicated in writing 4 weeks before any change.

Double, Triple and Fifo Committed Club Memberships can purchase additional sessions at $16 per class. This is the responsibility of the member to arrange before taking class via purchasing individual sessions. Additional sessions will be valid for 7 days from purchase.

Commitment-Free = No lock in period, cancel anytime.
RETURNS + REFUNDS POLICY
Refunds will only be given in line with Western Australia Consumer Affairs regulations. Refunds for any circumstance unforeseen by or external to the business will incur a processing fee of $5 per transaction being refunded.
Refunds are processed directly to bank accounts minus the processing fee/s.
Activation dates can only be extended for medical reasons.
Sessions are unable to be transferred to another person.
